Terms and Conditions (Pilot Logbook Pro)

Pilot Logbook Pro mobile apps (iOS/Android) and web app (collectively, the “App”).

Overview

These Terms and Conditions (“Terms”) form a binding agreement between you and Pilot Logbook Pro (the “Operator”, “we”, “us”, or “our”) governing your access to and use of the App and related services (collectively, the “Services”). By creating an account, accessing, or using the Services, you agree to these Terms.

If you do not agree, do not use the Services.

1) Who can use the Services

You must be able to form a legally binding contract in your jurisdiction to use the Services. If you use the Services on behalf of an organization, you represent that you have authority to bind that organization to these Terms, and “you” includes that organization.

2) What the Services do (and do not do)

The Services are designed to help you record, organize, analyze, and export aviation logbook information and related planning summaries. Features may include:

  • Creating and editing flight log entries (including out/in times, airports, aircraft, crew position, time categories, takeoffs/landings, instrument time, remarks).
  • Automated calculations and summaries (such as day/night splits, totals, charts, and “recency/currency” style rolling windows).
  • Importing draft flights from files you provide (PDF/CSV/Excel), airline reports, calendar events, ICS schedule files, and airline scheduling systems you choose to connect, where supported.
  • Displaying routes and statistics on maps.
  • Exporting to PDF, CSV, and Excel and sharing those exports.

Aviation, regulatory, and planning disclaimers

No aviation authority relationship. The Operator is not an aviation authority and does not represent any regulator, examiner, employer, or flight school.

Not legal advice; not compliance assurance. The Services are not legal advice. They do not guarantee regulatory compliance, logbook acceptability, or audit readiness. Regulations, interpretations, and company policies differ by jurisdiction, aircraft, operation type, employer SOPs, and personal circumstances.

Planning features are informational only. Any duty/FDP, schedule-based summaries, “currency/recency,” or similar planning outputs are for planning and awareness only. Do not rely on them for dispatch, operational decisions, flight release, or determining legality. You are solely responsible for verifying applicability and correctness against current regulations, company manuals, and official sources.

Calculation limitations. Automated calculations (including day/night determinations using civil twilight, instrument/IFR heuristics, and other derived values) depend on accurate inputs (e.g., times, time zones, airport codes, and source data). Results may be wrong due to missing/incorrect data, unusual routes, polar/seasonal effects, device clock issues, third‑party data errors, or software defects. You must review, correct, and validate outputs before using them for any purpose.

3) Accounts, security, and your responsibilities

To use certain features, you must create a Pilot Logbook Pro account. You agree to:

  • Provide accurate and current account information.
  • Keep your Pilot Logbook Pro account sign-in details secure and not share access to your account with others.
  • Promptly notify us of any unauthorized access or security incident affecting your Pilot Logbook Pro account.

You are responsible for all activity under your Pilot Logbook Pro account to the extent permitted by law. If you use schedule import features, you are also responsible for ensuring your use complies with your employer, airline, and any applicable third-party rules.

4) Your content and data

“User Content” means any data you upload, import, store, submit, or generate using the Services, including flight entries, profile details, settings, files for import, and exports.

You retain ownership of your User Content. You grant us a limited, worldwide, non-exclusive, royalty-free license to host, store, process, transmit, and display your User Content only as necessary to provide, maintain, and improve the Services, prevent abuse, and comply with law.

Data accuracy. You are solely responsible for the completeness and accuracy of your User Content and ensuring your records meet your legal, regulatory, employer, and insurance requirements. Maintain independent backups and records where required.

Imports and third-party sources. Imported content may be incomplete, mis-parsed, duplicated, or mapped incorrectly. Source systems may change formats without notice. You must review all imported items (including “draft flights”) before approving or relying on them.

5) Airline schedule import (third-party scheduling systems)

Certain features let you import airline schedule information to generate draft flights for your review. This section applies when you connect to, or import from, airline scheduling systems, calendar feeds, or schedule files (including ICS exports).

No affiliation. Pilot Logbook Pro is not affiliated with, endorsed by, sponsored by, or operated by any airline, employer, FLICA, or other scheduling vendor. References to carriers or systems are for identification only.

Your authorization. You represent that you have the right to access and import schedule data you provide or request through the Services, and that your use complies with your employer policies, airline rules, and any applicable third-party terms.

User-initiated access only. Schedule import features operate only when you choose to connect an account, sync a calendar, or upload a schedule file. We retrieve schedule information solely to provide draft-flight import and related planning views at your direction.

No operational reliance. Imported schedules, pairings, block times, duty summaries, and related outputs are for informational and logbook-assistance purposes only. They do not replace official airline systems, dispatch, crew scheduling, or regulatory sources. Verify all times, airports, and duty data against official records before logging flights or making operational decisions.

Third-party availability and accuracy. Airline and scheduling systems may change format, restrict access, rate-limit requests, or block automated retrieval without notice. We do not guarantee continued availability, accuracy, completeness, or timeliness of imported schedule data.

Your review duty. All imported schedule data appears as drafts until you review and approve it. You must verify every draft flight before it becomes part of your logbook or is used for compliance, employment, or regulatory purposes.

Feature changes. We may modify, suspend, or discontinue schedule-import features for any carrier or system at any time, without liability to you.

6) Permissions and device features

Certain features may require permissions, such as calendar access (to read events for schedule imports), location access (to support mapping features and route display), and file/photo access (to import documents). You control whether to grant these permissions; denying them may limit features.

7) Third-party services and links

The Services may integrate with or depend on third-party platforms and SDKs (for example, Firebase/Google Cloud services; Stripe for web subscription payments; the Apple App Store and Google Play for mobile in-app subscriptions; Google Calendar APIs; Apple Calendar; airline scheduling platforms and calendar feeds; map providers such as Google Maps; and libraries used to parse PDF/Excel/CSV). Third-party services are governed by their own terms and privacy policies. We do not control third parties and are not responsible for their content, availability, security, or actions.

8) Subscriptions and billing

Paid plans. The Services offer optional paid tiers, currently Pro and Elite. Elite includes all Pro features plus additional airline, import, export, and support features.

Where you purchase. Web app (PWA) subscriptions are sold through Stripe. iOS subscriptions are sold through the Apple App Store (when available). Android subscriptions are sold through Google Play (when available). Web subscriptions are managed in the Stripe Customer Portal from within the App; mobile subscriptions are managed in your Apple ID or Google Play settings.

Auto-renewal. Paid subscriptions automatically renew unless you cancel before the renewal date.

Free trial (annual plans). Eligible new accounts may receive a 14-day free trial on annual Pro or Elite plans. Only one trial per account. If you do not cancel before the trial ends, your payment method is charged when the trial ends. Monthly plans are not eligible unless stated at checkout.

Cancellation. Cancel via the Stripe Customer Portal (web) or Apple/Google subscription settings (mobile). Cancel at period end to keep access until the current period expires.

Failed payments. Processors may retry failed charges and place subscriptions in a past-due or grace state. Update your payment method in the billing portal or platform account.

Refunds. Handled per Stripe, Apple, or Google policies. Contact support@pilotlogbook-pro.com. We do not store full payment card numbers.

9) Exports, sharing, and professional use

Review exports for accuracy and completeness, handle them securely, and ensure the format is acceptable to your recipient.

10) Acceptable use

You agree not to:

  • Use the Services unlawfully or in violation of applicable regulations or third-party terms.
  • Attempt unauthorized access to accounts, systems, or data.
  • Interfere with or disrupt the Services or connected third-party systems.
  • Circumvent access controls, security measures, or usage limits of the Services or third-party platforms.
  • Upload malware or harmful code, or use the Services to distribute such content.
  • Misrepresent data, impersonate others, or falsify logbook records.

11) Intellectual property

The Services are owned by the Operator and its licensors. You receive a limited, personal, non-transferable, non-exclusive, revocable license to use the Services for their intended purposes.

12) Changes to the Services

We may change or discontinue features and may update these Terms. Continued use after an updated effective date means you accept the updated Terms.

13) Suspension and termination

We may suspend or terminate access for violations or risk. Certain sections survive termination (including disclaimers and limitation of liability).

14) Disclaimers

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS AND DEFECTS. To the maximum extent permitted by law, we disclaim all warranties, whether express, implied, statutory, or otherwise, including merchantability, fitness for a particular purpose, title, non-infringement, and that the Services will be accurate, uninterrupted, error-free, secure, or meet your requirements.

Without limiting the foregoing:

  • We do not warrant that the Services will be uninterrupted, error-free, compatible with all devices, or free of harmful components.
  • We do not warrant that imports (including schedule, calendar, or file imports) will be correct, complete, or timely.
  • We do not warrant that calculations (day/night, currency/recency, duty/FDP summaries, or other derived values) are suitable for compliance or operational decisions.
  • We use reasonable safeguards designed to protect the Services, but no system is perfectly secure. You use the Services at your own risk regarding unauthorized access, data loss, corruption, or security incidents.

15) Limitation of liability

To the maximum extent permitted by applicable law, the Operator and its affiliates, directors, officers, employees, agents, and service providers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or any loss of profits, revenue, goodwill, data, employment opportunities, wages, business interruption, regulatory penalties, or reputational harm, arising out of or related to your use of (or inability to use) the Services.

Without limiting the foregoing, we will not be liable for damages arising from:

  • Security incidents, including hacking, malware, phishing, unauthorized access, data breaches, or compromise of accounts or systems (whether affecting the Services, our providers, or third-party platforms), even if we have implemented reasonable safeguards.
  • Third-party schedule or import failures, including missing or incorrect legs, wrong times, blocked sync, format changes, or outages of airline or scheduling systems.
  • Reliance on any planning, compliance, or schedule-related output, including duty/FDP summaries, currency/recency views, day/night calculations, or imported draft flights.

To the extent liability is not otherwise excluded, the Operator's total liability for all claims arising in any 12-month period is limited to the greater of (a) amounts you paid (if any) for the Services in the 12 months before the event giving rise to the claim, or (b) USD $50.

Some jurisdictions do not allow certain exclusions or limitations. In those cases, the above limitations apply to the greatest extent permitted by applicable law. Mandatory consumer rights remain in force.

16) Indemnity

To the maximum extent permitted by law, you agree to defend, indemnify, and hold harmless the Operator and its affiliates, directors, officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from or related to: your User Content; your use of the Services; your connection to or import from airline or third-party scheduling systems; your violation of these Terms; your violation of any law, regulation, employer or airline policy, or third-party rights; or your reliance on imported schedule or planning outputs.

17) Dispute resolution and governing law

These Terms are governed by the laws of the jurisdiction in which the Operator is established, without regard to conflict-of-law rules. Mandatory consumer rights remain in force.
